Monitoring Unit relations with the Graduate Schools and colleges to assure compliance with thesis/dissertation requirements (i.e., format and quality of paper) and to seek change and monitor compliance with change needed to advance the preservation of theses/dissertations; D. Monitoring invoices for commercial binding and thesis/ dissertation microfilming services, payment and accounts from which such invoices are paid; E. Keeping statistics regarding the amount and type of materials sent out for and returned from the commercial vendors, as well as binding quality control statistics; and F. Binding Quality Control. The incumbent is responsible for coordination of all aspects of monographs and theses/dissertations binding preparations and shipments. In particular, these activities include: A. Maintenance of schedules: shipment dates, return dates, etc. both to and from the Libraries and the commercial bindery; B. Monitoring the workflow of U.S.P.S. employees system-wide responsible for the preparation of monographs and theses/ dissertations for commercial binding, as well as perform analyses of operations, efficiencies and cost- and time- studies; C. Monitoring of sorting and routing procedures by which materials are identified for deferment of binding, pamphlet binding, conservation, and brittle books processing, as well as type of binding using leaf attachment trees, flow charts, and Unit and Office policies and procedures. D. Maintains Unit manuals in CYBERLIBrary, including monograph and thesis/dissertation binding and processing procedures. E. Responsibilities includes: A. Collection and collation of unbound serials: periodicals and annuals; B. Specification of leaf attachment method and special instructions; C. Preparation of binding slips and binding slip file maintenance; D. NOTIS charging and discharge of materials, and supporting activities such as item record creation and holdings record up-dating; E. Sorting materials from the workflow which should either be bound in-house by the Conservation Unit or processed by the Brittle Books Program in the Reprographics Unit; and F. Preservation Photocopying and Hinging of covers which cannot otherwise be retained during the binding process; G. Quality control (when student assistants are on break): inspection of volumes upon return from the commercial bindery for review of spelling and call number lettering, appropriateness of leaf attachment method, etc. The incumbent must be able to search the NOTIS database for appropriate records, and interpret the USMARC formats as necessary. E 20% Invoice Processing and Statistical Records Keeping. A. Processing of Bindery invoices in accordance with library policy and practices, as well as Florida's vendor payment legislation; B. Monitoring funds allocated for commercial binding services using NOTIS fund codes and Unit statistical systems; C. Data-entry into and maintenance of Unit statistical systems mounted on a personal computer, as well as semi-automated generation of statistical reports; and D. Communication of progress toward expenditure of funds and other binding information, e.g., error rates, cost analysis, etc. to the appropriate Unit staff. E 10% Retrospective Conversion and File Maintenance. The incumbent converts holdings information from serials binding card file into appropriate automated NOTIS item record and maintains filing as necessary in the binding slip file for current work; also identifies catalog errors, ceased titles, title changes etc. and forward Catalog Department. 05% Professional Research and Reading.
