We are wrestling with this, also. We try to get the catalog record of the
microfilmed version complete to microfilm on a target of the film. This
has been relatively easy with in house prep and microfilming, but becomes
more complicated when we send material to a contractor for preparation and
microfilming. In house prep allows us to wait until the material is
camera ready before requesting cataloging of the microfilm version of the
work.
I agree that having to queue and then change and update records is
not cost-effective, especially if there is a reasonably short lag,
e.g. 6 months?, between the time one is really ready to commence work on a
volume. Presumably preservation people looking for titles already
microfilmed will not be too upset if they discover that the microfilm is
not yet ready. We do have to hold off our readers who are banging at the
doors for the material, though, as the record shows that we have
completed the microfilimg.
We will be beginning a pilot program which includes adding holdings and
item records for serials microfilm reels, and part of it is to experiment
with creating an item level record for the issues sent to the contractor
for preparation and microfilming. We hope to display a status of "in
process" so that the public will now see the span of dates/volumes which
are not yet available for use. Once received, we would update the first
item record for the dates/volumes on the first reel received in the lot
for the title and then add other item records for any other reels for the
same title.
We are ironing out how all of this will display in our OPAC. And probably
will continue to refine display during the pilot.
This may work with monographs, too. The preservation action should be
associated with the item, not the bibliographic, record. This is a
concern here as we own more than one copy of quite a few titles.
