The Florida Center for
Library Automation (FCLA) is working on
the
creation of a Specifications Library in connection with our preservation repository, the
FCLA Digital Archive. We are
attempting to have, at a minimum, an acid free paper copy of each official
specification and other relevant documents (such as Web pages, white papers,
conference proceedings, etc.) that were used in the creation of our Action Plans
(AP) and Action Plan Background (APB) documents. Each of the action plans and background
documents is associated with a particular version of a file format and includes
a significant bibliography. (See http://www.fcla.edu/digitalArchive/daInfo.htm )
The FCLA formats specialist
gathered and evaluated the accuracy of information relating to each file format,
carefully annotating and filing all the documents used during the writing of
each AP/APB. These filed documents have been entered into a database and are now
searchable by title, sub title, specification number/code, author, publisher and
associated file format. Given copyright concerns, these documents have not been
placed on the Web, nor have they
been
scanned and ingested into the digital archive.
We are wondering what others
are doing to track specifications and
supplementary materials used
during the course of the planning, design,
implementation and use of
their own digital archive. Did you
keep them? Are they organized? Are they searchable? 'Preserved'? How do you see the possible
implementation of digital formats registries such as the GDFR affecting your
decisions?
